Privacy Policy

1. Who we are

OakTutor is an iOS app published by 1001532201 Ontario Inc. It lets families in and beyond Singapore find a teacher from Oak Education, book one to one IB and AP lessons, and stay in touch with that teacher.

The teaching, scheduling and billing behind those lessons are carried out by Visionet Associates Pte. Ltd., which trades as Oak Education at oakedu.sg. The two companies share only the data needed to arrange and deliver the lessons you have asked for.

2. The data we collect

Account data

• The name, email address and phone number of the person who creates the account.
• A WeChat ID, where you choose to give one so that we can reach you there.
• Your preferred language and time zone, so that lesson times are shown correctly.

Student data

• The student name, so the teacher knows who they are teaching.
• The student grade or year, and the curriculum being followed, so lessons are pitched at the right level. Most students are in Grade 10 to 12.
• The school the student attends, where you choose to tell us.
• Subjects requested, learning goals and lesson history.

Messages

• Messages you send to your teacher or to the Oak team through the app, and the messages sent back to you.
• Messages are stored so that both sides can read the conversation later. Teachers see the conversations for their own students. Oak administrative staff may read a conversation where it is needed to arrange a lesson, resolve a dispute or investigate a safety concern.

Booking and payment data

• The lessons you book, the teacher, the date and time, and the status of each booking.
• The amount charged, the currency, and a record that a payment succeeded or failed.
• We do not receive or store your full card number. See section 4.

Device and usage data

• Basic technical information such as app version, device type and operating system version, used to diagnose faults.
• Error reports and crash logs.

3. How we use your data

• To create and run your account, and to keep you signed in.
• To match a student with a suitable teacher and to schedule lessons.
• To let you and your teacher message each other about lessons.
• To take payment for lessons and to issue receipts and refunds.
• To send you service messages such as booking confirmations, reminders and changes to a lesson time.
• To answer your support requests.
• To fix faults, keep the service secure and improve how the app works.
• To meet our legal and accounting obligations.

We do not use your data for automated decision making, and we do not build advertising profiles.

4. Payments are handled by FomoPay

Payments for lessons are collected by Visionet Associates Pte. Ltd. through FomoPay, a payment provider licensed in Singapore. When you pay, your card or wallet details are entered into FomoPay and are processed by FomoPay under its own privacy policy and security standards.

Neither 1001532201 Ontario Inc. nor Visionet Associates Pte. Ltd. receives or stores your full card number, expiry date or security code. What we keep is the transaction record: what was bought, how much was paid, when, and whether the payment succeeded.

5. Where your data is stored

Account records, student details, bookings and messages are stored in Supabase, a hosted database and storage platform, on servers in the Asia Pacific region. Access is restricted to the Oak staff and teachers who need it to do their work, and is protected by per user access rules.

Because the app is operated from Canada and the tutoring is delivered from Singapore, your data is accessed from both countries. Where data is transferred out of the country in which it was collected, we take reasonable steps to see that it stays protected to the standard described in this policy.

6. Who we share data with

We share personal data only with the parties below, and only to the extent that they need it.

• Your teacher and the Oak academic team, so that lessons can be prepared and delivered.
• Visionet Associates Pte. Ltd., which delivers the tutoring and collects payment.
• FomoPay, for payment processing.
• Supabase, for database hosting and file storage.
• Apple, in the limited form of the app distribution and crash reporting that Apple provides to every developer.
• Government or regulatory authorities, where we are required by law to disclose information.

7. We do not sell your data

We do not sell personal data. We do not rent, trade or otherwise release personal data to third parties for their own marketing, and we do not share it with data brokers or advertising networks.

8. Children and student privacy

OakTutor accounts are held by a parent, guardian or adult student. Where a student is under the age of majority, the account holder gives the student details on the student's behalf and consents to their use for arranging and delivering lessons.

Student information is used only to teach that student. It is not used for marketing, and it is not disclosed to anyone outside the people listed in section 6.

9. How long we keep data

We keep account, booking and message records for as long as your account is open, and afterwards for as long as we need them to meet tax, accounting and legal obligations. Financial records are typically kept for seven years. When a record is no longer needed it is deleted or anonymised.

10. Your rights

You may ask us to do any of the following.

• Tell you what personal data we hold about you and your student.
• Correct anything that is wrong or out of date.
• Delete your account and the personal data held with it, subject to records we must keep by law.
• Withdraw a consent you have given, understanding that we may then be unable to continue providing lessons.
• Receive a copy of the data you have given us.

Write to jerry@oaktutor.app from the email address on the account. We answer within 30 days. Step by step deletion instructions are on our Support page.

11. Security

Data is transmitted over encrypted connections and stored on access controlled infrastructure. Staff and teacher access is limited to what each role requires, and access rules are reviewed as the team changes. No system can be guaranteed completely secure, and we do not claim otherwise, but we treat any suspected breach seriously and will notify affected users and the relevant authorities where the law requires it.

12. Changes to this policy

We may update this policy as the app develops or as the law changes. The current version is always published on this page with the date it took effect. Where a change materially affects your rights we will tell account holders by email or in the app.
